This Refund & Cancellation Policy ("Policy") governs the use of Batchstaff and applies to all subscriptions, payments, cancellations, and refunds. By using the Service, you agree to this Policy in addition to our Terms of Service.
1. Free Trial
Batchstaff provides a 30-day free trial that allows access to the Service without payment.
- No payment method is required to start the free trial.
- You may cancel at any time during the trial without charge.
- If you do not cancel before the end of the trial period, your subscription will automatically convert to a paid subscription and billing will commence.
Because no payment is collected during the free trial, refunds are not applicable to trial usage.
2. Subscription Cancellation
- Subscriptions may be cancelled at any time through account settings.
- Cancellation takes effect at the end of the current billing cycle.
- Access to the Service will continue until the billing period ends.
- No further charges will be made after cancellation.
Data Retention
Upon cancellation:
- Account data may be retained for up to 90 days.
- After this period, data may be permanently deleted and cannot be recovered.
- Data restoration following re-subscription is not guaranteed.
3. Refund Policy
Batchstaff does not provide refunds as a matter of course. Refunds are issued solely at Batchstaff's discretion and only in the limited circumstances outlined below.
3.1 Eligible Refund Circumstances
Refunds may be considered if all applicable conditions are met:
1. Billing Errors
- Incorrect charges caused by system or processing errors
- Charges applied after a confirmed cancellation
- Duplicate charges for the same subscription period
2. Material Technical Failure
- A verified technical issue prevented access to core functionality
- The issue was reported to support in a timely manner
- Batchstaff was unable to remedy the issue within a reasonable timeframe
3. Prolonged Service Unavailability
- Sustained outages that materially impaired use of the Service during a paid billing period
Approved refunds may be issued as a full refund, partial refund, or account credit, at Batchstaff's discretion.
4. Non-Refundable Circumstances
Refunds will not be issued for any of the following:
- Change of mind or dissatisfaction after the free trial
- Failure to cancel before automatic renewal
- Unused subscription time following cancellation
- Lack of usage or inactivity
- Charges older than 60 days
- Accounts suspended or terminated for breach of the Terms of Service
- Pricing changes announced in advance
- Misunderstanding of product features or limitations
5. Pricing Changes
Batchstaff may modify subscription pricing with at least 30 days' notice.
- Updated pricing applies at the next billing cycle.
- Price changes do not entitle customers to refunds for prior or current billing periods.
6. Chargebacks and Payment Disputes
Customers must contact Batchstaff support at hello@batchstaff.com before initiating a chargeback.
Initiating a chargeback without prior contact may result in:
- Temporary account suspension
- Investigation of account activity
- Restriction of future access to the Service
7. Refund Requests
Refund requests must be submitted in writing and include:
- Account email address
- Relevant billing date(s)
- Reason for the request
- Supporting information where applicable
Refund requests are reviewed within 5-7 business days. Submission of a request does not guarantee approval.
8. Statutory Rights
This Policy does not limit any mandatory consumer rights provided under applicable law.
